Meeting called to order on July 18, 2005 at 2:11 p.m. by Chairperson Cathy Sarrazin.

I.   Review Minutes

 

·   The minutes of the June 6, 2005 meeting were reviewed and approved on motion of Debbie Minyard.

 


II. Gender Code Standards

·   SCT Banner consultants informed the committee that Banner used “N” as the default code for an Unknown gender. The Data Standards Manual will be revised to reflect this requirement.

 

 


II. Report on Name Changes Procedure

·   The committee took up the discussion from the previous meeting. Debbie Minyard distributed revised copies of the procedure for Name changes to the membership.

·   The committee reviewed and discussed changes to section 1.1. In section 1.1, the membership agreed to include Accounts Receivable to create and maintain vendor records who are not employees or students.

·   The committee reviewed and discussed changes to section 2. The membership discussed who was responsible for changes to a constituent’s legal name. The committee agreed to strike the phrase “Non-Alumni Constituent” and strike “Preferred Name Only”. It was determined that Advancement would be responsible for all changes to Constituent names.

·   The committee did not take action on the section entitled Name Change Report. Approval of this section was tabled pending further information.

·   On motion of Maria Cisneros, the committee approved the Policy on Name Change Procedures as discussed.

 

 


VI. Report on Address Types

·   The committee took up the discussion from a previous meeting. Tina Hunter and Debbie Minyard reviewed the address types that are currently listed in the Data Standards Manual and discussed some address types available in Banner that are not currently included in the manual. Members agreed to strike the email address type and tax address codes used in the general person name screen.

 

 


VI. Report on Telephone Types

·   On April 11, 2005 the committee also agreed that telephone and address type codes would not be attached to share the same code. However, a recent meeting with an SCT Banner Consultant revealed that this decision would create conflicts within Banner.

·   The committee rescinded this decision and discussed whether telephone types should also identify a telephone number as a landline or a cellular phone line. Members also considered using codes to identify a telephone number as a cell number, pager or fax but determined this to be unnecessary. The membership agreed to strike the phrase “Non-Students” from the description.

·   On motion of Jeff Smith, the committee accepts the amendment to Telephone types to share the same code as address types as discussed.

 

 


VI. Report on Degree Types

·   The committee took up the discussion from a previous meeting. Tina Hunter explained that both Human Resources and the Registrar share the degree type table in Banner. While all degree types would be listed on one table, a student could only be enrolled I a degree type offered by Delgado. It is possible to use numeric codes to identify student degrees and alpha codes for human resource degree types. The membership discussed these options and agreed that no action should be taken until more information is available.

 


VI. Changes to Special Characters

·   Cathy Sarrazin reported to the membership that SCT Banner provided a lengthy response on the use of special characters. In the communication, SCT does not officially prohibit the use of special characters; however, it does state that a string cannot begin or end with any of the restricted symbols. It would acceptable to use in the middle of a string (ex: 123 1/2 Green St).

 

 

  


IX.   New Business

 

·   The committee will discuss procedures to change Social Security numbers at the next meeting.

·   Tina Hunter suggested that the Team Leaders consider assigning someone to enter the Data Standards in to Banner’s Help Screen.

 

X.   Announcements  

 

·   October 3, 2005 is the Go-Live date for the Finance module. The committee’s goal is to have a revised copy of the Data Standards Manual published before by that date.
