Meeting called to order on April 11, 2005 at 2:11 p.m. by Chairperson Cathy Sarrazin.

I. Review Minutes
· The minutes of the March 28, 2005 meeting were reviewed and approved with the noted corrections on motion of Kirk Simoneaux.
II. Membership
· Chairperson, Cathy Sarrazin addressed the issue of attendance and inactive members. Several members have not participated in any of the regular meetings for an extended period. Those individuals may be removed from the roll due to a lack of participation.
· The membership accepted a recommendation from Dr. Sippola to send a letter to the inactive members warning that they will be removed from the Data Standard Committee roster due to a lack of participation.
III. Team Leaders Report of Actions
· The proposed change recommended at the March 28, 2005 Data Standards meeting was presented to the Team Leaders committee for approval. The Team Leaders accepted the recommendation to change Legacy codes from two characters to one character.
IV. Report on Name Changes
· Debbie Minyard submitted to the committee a draft of policies and procedures to change a person’s name. The membership reviewed and discussed the document. Several suggestions were made regarding the procedure to update employees’ records who are also former students; in addition, alumni student records should be update only in the preferred name field.
· Cathy Sarrazin, also, suggested adding a statement to the policy requiring that copies of all the appropriate documentation to make employee/student name changes be forwarded to all related offices.
· Dr Sippola recommended that the more stringent of these rules should be applied to both Human Resources and the Registrar’s office.
· Debbie Minyard will present a revised copy of these procedures at the next meeting.
V. Report on Degree Type Codes
· Debbie Minyard suggested using the list of possible awards held by Delgado faculty & staff as the source of the Data Standards degree type’s codes and include these codes in the appendix.
· The committee discussed other national organizations that may be able to provide a list of degree types and agreed that no action should be taken until more information is available.
VI. Address and Telephone Type Requirements
· The membership reviewed and discussed all the proposed changes to address and telephone type codes from the previous meeting. The following list indicates the recommended changes to the data standards.

· The committee also agreed that telephone and address type codes will not be attached to share the same code.
VII. Punctuation Usage Report
· Dr Sippola reported that, so far, the SCT Banner Project Consultant has not responded to the committee’s questions on the use of hyphens, apostrophes, periods, and slashes. Previously, an SCT consultant onsite confirmed that the slash “/” could be used when entering data.
· The membership considered the possibility of using these punctuation marks only where necessary for clarity and avoiding adding these marks to the beginning or end of a string of text. The committee also considered using these marks in Banner-Test to observe the effects.
