I. Review Minutes
· The minutes of the April 8, 2005 meeting were reviewed and approved on motion of Marlise McCammon.
II. Report on Name Changes Procedure
· Debbie Minyard distributed a draft of procedure for Name changes to the membership for review.
· Section 1.1 was amended to include Charity School of Nursing to enter/change non-credit students, and Purchasing may enter/change a vendor record. Section 1.1 was approved by the membership on motion of Maria Cisneros.
· The report also recommended that instructions on searching for multiple records be included in the Data Standards Manual. On motion of Marlise McCammon, the membership accepted this addition to the Data Standards Manual.
· The report also recommended in section 1.2 that a statement on data integrity across multiple modules be included in the Data Standards Manual. On motion of Debbie Minyard, the membership accepted this addition to the Data Standards Manual.
· The members reviewed section 2 and discussed several changes. No action was taken on this pending the revisions to be presented at the next meeting.
· Maria Cisneros suggested that the committee also draft policies and procedures to change social security numbers.

· There was not sufficient time available to address this item and was tabled until the next meeting.

VII. County Codes / Preferred City Codes
· Ronald Rodriquez updated the members on issues related to the use of county codes and zip codes. Philip Song, SCT Banner consultant, presented some data entry options in Banners when the user finds multiple cities listed for the same zip code. He, also, described how each of these options would be displayed in printed material.
· Members discussed the options to match a preferred city to the zip code, load all cities to the matching zip codes, or change the selection by typing over the default city. The committee also considered postal regulations and the Board of Regents reporting requirements. The committee was able to participate in a live demonstration in Banner Test data to observe the possible outcomes of each data selection method.
· The full committee agreed that multiple city listings should be used with the appropriate zip codes giving users the option to type over the city and make changes.
VIII. Searching for Multiple Records
· Although, there was not sufficient time available to address this item, the agenda did include a brief description of this item. This topic tabled until the next meeting.
